Tips & Tricks: Long Term Subs

Have a substitute teacher needing to take over an active teaching schedule? Here’s a few ways we can help you with this.

Grades, assignments, and gradebooks cannot be moved from one teacher account to another. Those stay with the teacher account in which they were entered. However there are ways we can provide access for subs so they can use the teacher's gradebooks.

Short Term

1. Sub has no School Loop account: If a teacher is leaving for only a short time and the sub has no School Loop account, we can simply give access to the account to the new teacher by changing the email address, username and password. With this option, the sub is taking over the original teacher’s account. Send us a support ticket with the name and email address of the sub and the teacher they are taking over for and we will make the account changes for you.

2. Sub has a Teacher or Staff account: Use the Co-teacher feature if it is available for your district. The teacher can make the sub a Co-teacher which gives the sub complete access to the teacher's course and gradebooks.

Long Term

1. Sub has Teacher ID and has taken over teacher's schedule: If the sub has her own School Loop account and has been given the active schedule in the Student Information System, we can switch the teacher ID in School Loop. This allows us to transfer ownership of the teacher account from one teacher to another, while also keeping all the gradebooks/lockers/LoopMail intact. There is no changing or merging of student or grades data. All gradebooks and LoopMail messages would be accessible for the sub’s use. When the original teacher is ready to come back, we can simply change the sub's information back to the original and everything will be continuous as the sub left it. Send us a support ticket with the name and teacher ID of the sub and the name and teacher ID of the teacher they are replacing. If you give us this information on the same day that the change is made in the Student Information System, then the sub can take over with no delay. If the sub's account has already been imported into School Loop, then we can give the sub the teacher's account, but the sub will have to wait for the next data import for the schedule to become active.

2. Sub has not taken over teacher's schedule: If the sub has a teacher or staff account, use the Co-teacher feature if it is available for your district. The teacher can make the sub a Co-teacher which gives the sub complete access to the teacher's course and gradebooks. If the sub has no School Loop account, register a staff account for them. 

3. If the Co-teacher feature is not available in your district, and the original teacher does not want the sub to take over their account, there is a third option. The sub can use their own gradebooks and print out the gradebook to give to the returning teacher. The returning teacher will then have to manually enter the grades in their own gradebook.
